Perfume Bottle Sample Approval Checklist Before Production

Industry Insights

Buyers searching for perfume bottle sample approval checklist are usually close to a supplier decision. The useful question is not simply who can quote, but which supplier can reproduce the approved package across production, decoration and delivery.

This guide focuses on how to approve a filled and assembled reference set. It is written for procurement teams preparing an RFQ, supplier comparison or production approval.

Questions for a supplier comparison

  • Is the quotation tied to a drawing and bill of materials?
  • Does the factory have gauges for the critical dimensions?
  • How are incoming caps, pumps, lids or collars inspected?
  • What is the corrective-action process for a failed sample or batch?
  • Can the factory reproduce the same finish on a repeat order?

Why this issue deserves its own control

Sample management needs version control. Each unit should be labeled so the team knows whether it represents stock glass, a laboratory decoration trial, a pilot run or final production. Measurements, component codes and comments belong in an approval sheet rather than scattered messages. Keep retained units in reasonable storage conditions and photograph the approved appearance. If the buyer accepts a limit sample for a minor defect, mark it clearly. Future shipments can then be evaluated against evidence instead of memory.

Specification sheet

A catalog name does not control production. The purchase file should state the attributes that affect filling, assembly, appearance and transport.

RFQ field What to define
Use case Fragrance format, fill size, market position and sales channel
Bottle Shape, nominal fill, brimful capacity, glass weight and dimensions
Neck and pump Crimp or screw finish, pump model, dosage, collar and dip tube
Cap Material, insert, fit, alignment, finish and retention expectation
Decoration Glass tone, coating, printing, foil, label or embossing
Pack-out Protective sleeve, insert, retail box, carton and pallet method

How this topic changes the buying decision

how to approve a filled and assembled reference set. For a glass perfume bottle project, this point should be converted into a drawing note, an approved sample feature or an inspection rule. If it cannot be checked, two suppliers may interpret the same request differently.

Ask the supplier to show the production step that controls this feature, identify the equipment or subcontractor involved, and explain what happens when a batch falls outside the approved range. That conversation reveals whether the quotation is supported by a repeatable process.

Information to include in the RFQ

  • Quantity for every size, color and artwork version.
  • Drawing, dimensions or reference sample.
  • Closure and accessory list.
  • Logo files and physical color references.
  • Retail and export packing.
  • Destination, timing and trade term.
  • Inspection and document requirements.

Approval controls

  • Label every sample with version, date and supplier reference.
  • Record dimensions, appearance, component fit and pack-out rather than replying with a simple approved message.
  • Keep one signed reference with the buyer and one with the supplier for bulk comparison.

Sampling and quality plan

Where possible, test samples from the intended production route rather than handmade show samples. Fill trial units with the intended fragrance base and verify pump output, leakage, cap fit and decoration contact.

  1. Inspect glass and decoration separately before evaluating the complete set.
  2. Measure functional interfaces with suitable gauges.
  3. Trial the real filling and closing sequence.
  4. Review retail presentation after transport simulation.
  5. Issue a signed approval sheet with photos and unresolved points marked closed.

Buyer FAQ

Can one order contain several colors or designs?

MOQ can differ for the bottle, pump, collar, cap, decoration and box; the highest minimum may control the final set.

Is a catalog sample enough for final approval?

The bottle neck, pump, collar and cap should be approved as one assembled system with the intended filling process.

Which quotation assumptions should be written down?

Test leakage, pump dosage, spray pattern, cap retention, decoration and transport packing on representative samples.

Next step

A strong supplier discussion begins with a clear specification and ends with evidence that the approved standard can be repeated. Use this guide to prepare your enquiry, then send drawings, quantities and destination details through our request-a-quote page.
